Job Summary:

We are seeking an organized and proactive  Office & Accounting Coordinator to support our growing team. This hybrid role combines administrative and accounting responsibilities, making it ideal for someone who enjoys variety, thrives in a fast-paced environment, and values being the go-to person who keeps operations running smoothly. The Office & Accounting Coordinator will be responsible for managing day-to-day office operations, handling general bookkeeping tasks, supporting accounts payable/receivable, and assisting leadership with reporting and administrative projects. The ideal candidate is detail-oriented, resourceful, and comfortable wearing multiple hats in a collaborative, team-focused workplace.

This role is perfect for a professional who takes pride in accuracy, enjoys problem-solving, and is looking for an opportunity to contribute to both the efficiency of office operations and the financial health of the organization.

Job Responsibilities:

  • Managing Accounts Payable & Receivable using QuickBooks
  • Creating and sending accurate, timely invoices
  • Supporting purchasing and inventory tracking
  • Organizing and maintaining digital and physical records
  • Handling incoming calls and providing friendly, professional support
  • Assisting with mail distribution, office supply orders, and general admin tasks as a back up to the Office Administrator.
  • Collaborating with team members to ensure smooth office operations

Requirements

  • QuickBooks expert with solid experience in bookkeeping and invoicing, required.
  • Strong understanding of basic accounting principles, and prior experience in AP/AR, invoicing and providing supportive office, accounting, and administrative tasks.
  • Proficient in Microsoft Office (Excel, Word, Outlook), required.
  • Excellent communication and organizational skills
  • Comfortable working independently and taking initiative
  • Prior experience in purchasing or inventory management is required.
  • A team player with a positive attitude and a strong work ethic
