Summary

Are you a highly organized and detail-oriented professional who thrives in a fast-paced environment? Do you like solving puzzles, creating spreadsheets, multitasking, and interacting with a variety of people? If so, you might be the perfect Administrative Assistant to join our team and coordinate multiple projects, ensuring efficiency, organization, and seamless execution.

Key Responsibilities:

• Collaborate internally and with clients to gather the collection of art, quotes, materials, and shipping information.
• Coordinate multiple projects, ensuring deadlines and deliverables are met, and communicate any potential risks or delays to all stakeholders.
• Prioritize tasks and pivot between projects efficiently as business needs evolve.
• Review and approve client artwork to ensure it meets business rules and standards.
• Using our software, build and manage client quotes.
• Utilize project management tools (Excel, Page Proof, Monday.com, etc.) to track and streamline processes.
• Identify potential roadblocks and implement solutions to keep projects moving forward.
• File project documentation and maintain daily updates to master program spreadsheets.

Qualifications & Skills:

• Strong organizational and time-management skills.
• Ability to multitask and manage shifting priorities efficiently.
• Excel skills: Must be able to perform basic tasks such as all Data Entry & Formatting, Sorting & Filtering Data, Basic Formulas & Functions (SUM, AVERAGE, CONCATENATE); Advanced skills include: Use Formulas (IF, AND, OR), Date & Time Functions (WORKDAY, NETWORKDAYS, and DATEDIF), Index-Match VLOOKUP & XLOOKUP, Conditional Formatting.
• Experience with Monday.com is a plus.
• Strong communication skills and the ability to collaborate effectively within a team.
• Experience in timeline management, project coordination, administrative support, and event operations.
• Problem-solving mindset with the ability to resolve issues proactively.
